SUBJECT: Problems With Early Credit of $1 For Collier Settlement

The department sent out the FRVIS release last weekend, which included the specifications for $1 credit to class members of the Collier settlement beginning July 1, 2009. However, due to a system glitch, FRVIS began applying the credit to transactions that were processed on June 29. We discovered this problem, and by noon on June 29, we had it corrected.

This system glitch impacted several situations before being corrected.

Customer Walk In: If a customer walked in, the customer received the $1 credit prior to the July 1 effective date. These transactions are valid and the customer will not receive the credit again on any future transactions.

Virtual Office: For approximately 150 transactions, FRVIS applied the credit and charged $1 less for each of these transactions than what Virtual Office charged. The department has identified and manually corrected those records in FRVIS, which show an overage of $1. These transactions are valid. Therefore, you may print and mail those registrations.

Virtual Office: Virtual Office is giving credit for renewals with September expirations that were assigned over the past weekend. FRVIS will not apply the credit until July 1, 2009. Therefore, any transactions downloaded on June 30 that error out due to a shortage should be re-processed on or after July 1.

Remember, the Collier Settlement allows for a $1 credit only, not a refund. If you are in a situation that you feel requires a refund, please contact the Help Desk before you continue. Another reminder, renewals received by mail should be processed using the “Mail” option under “Renewal”. Otherwise, the amount charged by FRVIS may not match the renewal notice.

If you have questions or need further assistance, please contact your Help Desk Representative.
