The department is in the process of re-bidding the contract to purchase laser printed decals.  The department’s contract for maintenance of the DataMax printers will expire at the end of February 2008.  The department attempted to negotiate an extension, but the new price was 300% higher than the existing price (which amounted to a $30,000 per month increase); thereby making the option cost prohibitive.


Therefore, the new decal contract will not be awarded before the expiration of the DataMax printer maintenance contract, which means there will be no maintenance support for the DataMax printers during the period of March 1, 2008 and approximately May 1, 2008. Our records reflect that there are a little more than 2,000 DataMax Printers under our contract.  On average, about 130 service calls are placed statewide per month. Based on the above numbers, about 260 workstations will need to switch from printing decals on the DataMax printers to the laser printed Samsung printers between March 1, 2008 and May 1, 2008.


The department is recommending that all offices (or at least all counties) have a small supply of laser printed decal stock and toner in the event of a failure with one of your DataMax printers during the period described above.  To mitigate cost and effort, we are recommending only switching the workstation(s) that is using the defective DataMax printer and conducting at least one test per county to ensure your staff is prepared to make the necessary adjustment when needed.  The department does not recommend that you switch your entire office to printing the laser decals until such time a new decal contract has been procured.


The following link provides detailed instructions on how to set up your agency to print the laser printed decals.  You have the option of switching back and forth between the DataMax printers and the laser printed decal solution should you encounter any problems.


The correct firmware should be loaded on the Samsung printers for offices that have networked printers. For offices that do not have networked printers, our Systems Administration and Application Support (SAAS) Group will be contacting those counties to supply the printer firmware and installation instructions needed to print the laser printed decals.  If you are not contacted by February 15, 2008, please contact SAAS through the Technical Assistance Center.


To be certain that the Samsung printer is configured correctly, take notice of the printer speed when printing a laser printed decal.  The printer speed should be noticeably slower when printing a decal as it will be printing other documents such as an 82041 form.  If this is not the case, then the printer is not configured correctly.  Please contact the Technical Assistance Center for assistance if this occurs.
