When an individual signs for a company/corporation on any motor vehicle or vessel transaction, the department must verify that the individual signing the documents is allowed to do so. Departmental procedure TL-01, Signature Requirements and Identity Affidavits, states that if the signor for a company/corporation cannot be verified within Sunbiz, a letter on original business letterhead stating that the person signing the application is authorized to do so and be signed by an officer of the business who is someone other than the person signing the application.
Due to operational concerns that have come to our attention relating to reciprocity to other states and their procedures as well as special provisions allowed for licensees by the department (i.e., auto dealers, auctions, distributors, etc.), please make the following adjustments regarding TL-01. For transactions involving licensees by the department as described above, please continue to request Authorization Letters. However, any transaction received with no Authorization Letter included or one is not on file with the department should not be rejected. For those transactions, enter “Authorization Letter Not Provided” in the comments field indicating that the Authorization Letter was not provided. Once these operational issues are resolved, we will provide you with an update in the form of a revised TL-01.
